How to set up the video flows for your users? (ADMIN)

Video Flows helps you easily add intros and outros to brand-approved videos in seconds. Keep your sales pitch consistent, reduce video creation time, and boost sales productivity. To understand more about the feature benefits, click here. 


This article will show you how to create a video flow for a user.


Here's a quick video on how to set up the video flows for your users:


To navigate to the video flows: 

  1. Log-in to  Hippo Video with your existing credentials.

  2. Hover the mouse over the HV Studio icon in the left navbar and click on the Video Flows.

  3. You will be redirected to the Video Flows page where you’ll find the Custom Tags and System Tags.

    1. Custom Tags are tailor-made tags created by admins to manage and retrieve flows. If there are no custom tags available for an account, the custom tag filter will not appear.

Note: The video flows associated with custom tags are automatically moved to the Others category when deleted.
  1. System Tags are pre-made tags available in default for every Hippo Video user to manage and retrieve flows.

  1. Here you’ll find an option to search the video flows using various ways:

  1. Sort by - By default, it displays the Recent category. You can also opt for Name.

  2. Search - Enter the name of the video flows and press Enter; Click Clear to clear the content inside the box.

Note: The sort by, and search options work for each tag separately.
  1. Visibility settings for quick create - By default, all the system flows are enabled here. You can always show/remove the newly created flows inside the ‘+Create’ button (available at the top right) by enabling/disabling the toggle button.

Note:  This is applicable only for Admin.
  • To do that, click Visibility settings for quick create link at the top left.

  • Now, enable the toggle button near the appropriate flow and then click Save.

  1. In the left panel, you’ll find various tabs:

  • Recently Used - Lists the latest 15 modified flows. The default flow will always be the first on top for easy access. 

  • All Flows - Already available and newly created flows will be shown here along with the tag names.

  • Filter By Tags - This includes the Custom Tags and System Tags

  1. By clicking the Create New Flow button on the right side of each tag will allow you to create a new video flow.


As an Admin, if you want to create a video flow and set the for the user. 

  1. Open any of the tabs from the left panel. Let’s see an example of creating a new video flow from the Prospecting tab.

  2. Click on the Create New Flow button at the top right.

  1. As you are on the first page, ensure that your flow is named and saved. You can find it in the top left corner.

  1. Click the Edit icon (top left) to enter the name for your flow (mandatory) and save it by clicking on the Green tick mark.


To add tags:

  1. Click on the Plus icon near the Tags at the top. 

  1. Select the appropriate tags. 

  1. The selected tags will be shown. 


To set background music:

  1. Click on the Set Background Music option from the Settings pop-up towards the right side in the top bar.

  1. You can import audio from local, recently used, audio libraries or G-drive and then click Import. The selected audio is set.

Note: You can adjust the volume of the background music on each slide and also can change the background music at any point in time.


To embed your video on the selected sales page:

  1. Click the Set Sales Page from the Settings pop-up (top right). 

  1. Select the sales page and then click Save. The selected sales page is set.

Note: You can change the sales page at any point in time.


To set visibility permissions for the flow:

  1. Click the Visibility Settings from the Settings pop-up (top right) to set flow privacy.

  1. The Flow Name is automatically generated based on the details provided earlier.

  2. Select the folder where you want the video flow to get saved.

  1. From the Visibility field, select the users and groups. By default, the selected users and groups will be given view access.

  1. By default, the selected users/groups will have only view access. If required, the Admin can change the access by clicking on the Viewer link. From the drop-down, the Admin can select Editor access. Permission Editor (Allows access to the user to edit the flow), Viewer (Allows access to the user to view the flow and share the same), and Remove Access (This will not be shown as separate permission. Only the creator can remove access to flow).

Note: The same user will have access to Viewer and Editor. So, in that case, they will have permissions based on the hierarchy, i.e. Between Viewer and Editor, the Editor has the highest permission.
  1. Everyone in the Organization - Check the box to give access to the folders for all the users from the same domain.

  2. Thumbnail - If you want to change the thumbnail then you can modify at any point in time.


To manage video transitions:

  1. Click the Video Transitions from the Settings pop-up (top right).

  2. It will be ON for Admins, by default. This results in the merged videos having fadein/fadeout transitions in the middle of each video. The Admin can turn off the toggle button to make the Transition invisible in the merged videos, and this will make the option concealed for the users, by default. If the user would like the option to be enabled then the user can turn it on at any point in time.


To start setting with the video flows:

  1. On the left side of the screen, the list of default slides for creating videos is shown.

Note: 
  • Green tick - Indicates that the slide is completed with an action.

  • REC - Once the video or image is added to the slide the Rec button changes to a green tick mark. 

  • +ADD - Click to add slides.

  1. On the right side of the screen, enter the title name, notes for your sales team, and content for each slide of your flow (pre-defined video/dynamic video).

  2. By default, you’ll have three slides but you can create number of slides based on the requirement. In this flow, you’ll have two different types of slides: Pre-defined video and Dynamic video.


Pre-defined video:

If the Content Options is chosen as Pre-defined Video then you have an option to record video/import video (local/library) /import image (local/library/recently used/G-drive/free stock images/shopify).

If the Content Options is chosen as Dynamic Video then you have the option to enable for the user such as:

Note: The Add Script (lets you add video script) and Add Image/Video as Virtual Background (lets you add virtual background) will be enabled only if the Webcam Video option is chosen.

The end-user needs to create a video with screen sharing.

  1. Once done, your flow is ready to share with users. 

  2. Click on the Save as Flow button at the top right corner.

  1. Your flow is now available inside Custom Tags and also inside all the video creation flow.


Now, you can ask your sales users to create videos using these flows to save time and follow the guidelines set for you.


To manage the enabled options of the thumbnail:

  1. Click on the More icon below the thumbnail to view the enabled options.

Note: No access to Edit/Delete the Default flows.
  1. To change the flow privacy settings, click Settings and select folders, set visibility (select user or groups), check the box to share with everyone in the organization, and thumbnail (can change it at any point in time).

  2. To make a duplicate copy of the existing flow, click Clone.

  3. To edit or delete the flows, click on the appropriate options.


You're done setting up the video flow for the user now. After creating a video flow and setting the visibility, the video flow will automatically appear in the user's account under HV Studio > Video Flows > Custom tags.
